The best tools are sometimes the simplest. We have a lot of travel and events that we coordinate around so everything for myself, my husband, my toddler and our nanny goes on one big calendar where you can see the whole month at once and it's kept centrally in the kitchen - that way, we all know where everyone is! Good old-fashioned paper but it works!

Sidewalk chalk - one of the lowest cost toys out there but never fails to entertain both kids and their accompanying adults. Drawings...hopskotch...naming colors for the smallest ones. always a hit on a lovely day.
