Tips for managing all the family information

Does anyone have any tips or systems to help manage all the information we gather everyday about our children and our homes. I don't seem to spend my time productively, ie I file away paper (or sometimes throw it away) and then I cant find it again when I need it for my children's school or sports etc....I have four boys, so there is just such a lot to manage and I feel like I waste lots of time.....

I found a file cabinet on craigslist cheap and bought hanging folders. I spent an entire weekend getting it together, but it's been wonderful.
Keep the file cabinet where you can get to it easily.
I have a basket on the table in the front entryway. Mail, school forms.... all papers go in there. I go through it once a week (I had to set a time and date...lol) and either file, toss, or take action on.
Anything pressing that is due immediately goes on a clippy on the fridge.
A big calendar helps to jot things down.
Each person has their own file in the file cabinet. Then there's car, household, tax info, insurance, warranties and owner's manuals.
I also put a "junk" file in the very front. This holds pictures, letters, and artwork that need to be put away the 'memories' box in the closet. I guess I'll clean that out when it's full. lol
